How to Customize Knock Bot Responses for Non-Qualified Leads

How to Customize Knock Bot Responses for Non-Qualified Leads

Update Bot Replies

Knock helps your team focus on qualified leads by automatically handling responses to unqualified ones. If a rep rejects a lead, Knock sends a pre-written message on their behalf—no manual replies, no wasted time.

This feature ensures a consistent, polite experience for all leads, while keeping your reps focused on the right opportunities.

Why Use Custom Reject Responses?

  • Save reps time by automating follow-ups with unqualified leads
  • Maintain a professional, consistent tone across your team
  • Personalize responses for different reject reasons (e.g., job seekers vs. competitors)
  • Ensure every lead gets a clear response, even if they’re not a fit

How to Set Up Custom Reject Reasons and Auto-Responses

Follow these steps to create automated replies for different types of non-qualified leads:

  1. Open the Knock App Home Page in your Slack workspace
  2. Click Update under Knock Reject Reasons
  3. Click New Reject Reason, then fill in:
    • Reject Reason (e.g., “Not in ICP,” “Competitor,” “Job Seeker”)
    • Automatic Response – the message Knock sends on behalf of your rep
  4. Click Submit to save

Knock will now automatically send that message anytime a lead is rejected for that reason.

How to Edit or Update Existing Reject Responses

  1. Open the Knock App Home Page in Slack
  2. Click Update under Knock Reject Reasons
  3. Locate the reject reason you want to edit and click Edit
  4. Update the text for either the reason or the automated response
  5. Click Submit to save changes instantly

Best Practices

  • Keep messages polite but firm. Thank the lead, and make it clear you’re not the right fit
  • Use different messages for different reasons to stay personal and relevant
