Knock AI Scheduling: How It Works

Knock AI Scheduling enables buyers to book a meeting using only their email address.

When a buyer opens your scheduling link, Knock AI AI:

  1. Identifies the buyer by email
  2. Enriches the lead in real time from the email address alone, eliminating the need for traditional forms.
  3. Evaluates the lead against your routing rules (owner, territory, segment, round-robin, or shared availability) to assign the correct meeting owner.
  4. Displays real-time availability from connected calendars in the buyer’s local timezone

When a time is selected, Knock AI:

  1. Assigns the correct meeting owner
  2. Creates the calendar event and send a confirmation email
  3. Syncs meeting data to your CRM
  4. Sends Slack notifications to the assigned rep
  5. Opens a persistent messaging thread tied to the meeting
  6. Sends a LinkedIn connection request

End-to-End Scheduling Flow

1. Buyer Clicks a Knock AI Scheduling Link

A buyer accesses your scheduling page from:

  • Demo or pricing pages
  • LinkedIn posts or ads
  • Marketing emails
  • Sales outreach (Email, LinkedIn)
  • Event pages or QR codes

Knock AI Scheduling can be used anywhere you capture demand.

2. Email-Only Identification

The buyer enters only their email address.

Knock AI then:

  • Detects the buyer’s timezone
  • Enriches company and role data (role, seniority, company size, industry, HQ)
  • Identifies attribution data (UTMs, referrer)
  • Checks CRM status

No long form is required.

This enrichment enables accurate routing without additional input from the buyer.

3. Smart Routing to the Correct Calendar

Knock AI AI routes the meeting based on your configured rules.

Routing can be based on:

  • Assigned account owner
  • Territory
  • Segment
  • Round-robin distribution
  • Shared availability

Routing only follows rules you configure.

If no rule applies, no automatic reassignment occurs.

4. Smart Time Slot Display

Available time slots are shown in the buyer’s local timezone.

By default:

  • Time slots appear between 8:00 AM and 9:00 PM in the buyer’s timezone
  • Calendar buffers are respected
  • Only real availability is shown

This prevents timezone confusion and scheduling outside working hours.

5. Booking Confirmation

When a time is selected:

  • The meeting is confirmed instantly
  • The meeting owner is assigned and gets a direct Slack notification
  • The Lead gets a meeting confirmation directly to the messaging app (e.g., LinkedIn, WhatsApp) and can join the meeting
  • The calendar event is created with all attendees

Meeting data is synced to your connected CRM (HubSpot, Salesforce, Marketo if configured).

6. CRM Sync and Notifications

After a meeting is confirmed:

  • The meeting data is synced to your CRM (HubSpot, Salesforce, Marketo)
  • Slack notifications are sent to the Knock Knock updates channel and the assigned meeting owner. The meeting owner can join, reschedule, cancel, or view meeting activity directly from Slack.

Engagement Before and After the Meeting

Knock AI Scheduling extends beyond booking by supporting post-scheduling engagement through chat and LinkedIn outreach, improving meeting attendance and reducing no-shows.

Immediately After Booking

  • The confirmation screen prompts the buyer to start a conversation
  • A LinkedIn outreach message is automatically sent from the meeting owner
  • The calendar invite includes a messaging link

This promotes to start a conversation before the meeting takes place.

Before the Meeting

  • The messaging thread remains active, allowing both sides to continue the conversation
  • A reminder is sent 15 minutes before the scheduled meeting

After the Meeting

The messaging thread remains active.

This allows:

  • Follow-up questions
  • Continued engagement
  • Faster next steps
