Scheduling emails: meeting confirmation and reminder
When a meeting is booked through Knock AI, branded scheduling emails are automatically sent to everyone involved. They confirm the booking, help participants come prepared, and send a timely reminder right before the meeting starts.
What scheduling emails are
Scheduling emails are automated emails Knock AI sends around a booked meeting. There are two emails:
- Meeting confirmation - sent to the lead as soon as the meeting is booked, and to added members once they are addedץ
- Meeting reminder - sent 10 minutes before the meeting starts.

The meeting confirmation email is sent immediately when a meeting is booked.
What the lead's confirmation includes
The lead receives the full confirmation email, which contains:
- Who they are meeting with - Participants are listed with their photo, full name, title and LinkedIn profile link when enriched.
- Chat summary - If the lead had a prior chat with your team, the email shows the main topics discussed, summarized automatically.
- Questions worth asking - Knock AI suggests questions the lead may want to raise, based on the meeting type, the prior chat, and information about the company and the prospect.
- Actions the lead can take:
- Chat with host - opens a direct conversation with the host. If a conversation already exists, it opens that conversation. If not, it starts a new direct message with the host.
- Reschedule the meeting.
- Cancel the meeting.

Meeting reminder email
The meeting reminder email is sent 10 minutes before the meeting starts.
What the reminder includes
- Join link to the video meeting (for example, Zoom or Google Meet).
- Suggested questions - generated from the confirmation email
- Who is joining - the full, current list of all attendees, which may include people added after the confirmation email was sent.
- Actions the recipient can take:
- Join the meeting.
- Reschedule the meeting.
- Running 5 minutes late - opens a chat with the rep and sends a short message letting them know the recipient will be a few minutes late. If a conversation already exists, it opens that conversation; if not, it starts a new direct message.
